Updating the EEG101 website: a guide for staff
You can add and change Events, other calendar dates (deadlines, calls) and Spotlights yourself, through a simple online editor. No technical knowledge or special account is needed: just the email address an admin invited.
Signing in
- Go to https://app.pagescms.org.
- Type your email address and press Continue. (Do not choose “Sign in with GitHub” — that is for admins.)
- You will get an email titled “Your Pages CMS temporary code”. Type the 6-digit code into the page. The code lasts 5 minutes; if it has expired, just ask for another. If it does not arrive, check your spam folder.
- Open eeg101-costaction/website.
You will see Events, Other calendar dates and Spotlights on the left.
The one thing to know: Save means publish
There is no draft. When you press Save, your change goes live on www.eeg101.eu within a couple of minutes. So check it before you save, and look at the website afterwards.
If you make a mistake, just edit the item again and save. Nothing you do can break the website for visitors.
Adding an event
- Click Events, then Add an entry.
- Fill in the form. Each field has a short explanation underneath. The ones you will always need: Title, What kind of item is this?, Date, Format, Short description, and ideally a Picture with its Picture description.
- If it has a time, also choose Time zone of those times. The Calendar uses it to show each visitor the time in their own zone.
- Press Save.
The event appears on the Events page and the Calendar.
Events run by another organisation (a conference we are attending): tick Run by another organisation. They are listed under “External events”.
Taking bookings on the website: tick Take bookings on this website, set Bookings are to Open, and fill in the start time, end time and time zone. A Register button appears. To stop taking bookings, set it to Closed.
Members-only events (COST members, invited through e-COST): choose “EEG101 COST members only” under Who can attend?, and leave bookings off and the joining link empty.
Careful with joining links. Anything typed in Online joining link is public, and is emailed automatically to everyone who has booked. If the link must stay private, leave it empty and ask an admin to add it to the registration workbook instead.
Adding a deadline or other date
Use Other calendar dates for things that are not events: grant deadlines,
calls, holidays. They appear on the Calendar only. Give it a Title, a
Kind and a Date, and optionally a time and a link (for example to
/grants/).
Everything here is public. Internal meetings go in the internal Google Calendar, not here.
Adding a Spotlight
- Click Spotlights, then Add an entry.
- The form follows the page from top to bottom:
- the title and the main picture;
- a summary, and when and where it happened;
- three short sections: why it mattered, what it enabled and what comes next, each with an optional heading and some text;
- lists of key outcomes, people and places, and next steps;
- the buttons at the end.
- Finish date puts the Spotlights in order, newest first.
- Tick Show on the home page to feature it. The most recent featured Spotlight is the one shown there.
- Press Save. The page appears at
www.eeg101.eu/spotlights/....
It is easiest to open an existing Spotlight to see how one is filled in.
Pictures
- Click the picture field and Upload. JPG, PNG and WebP pictures are accepted. Large phone photos are shrunk automatically a minute after you save, turned the right way up, and stripped of hidden location data.
- Before uploading a photo taken on a phone, remove its location (on an iPhone: Share → Options → turn off Location; on Android: in the photo’s details, remove the location), or turn off location in the camera settings. The automatic clean-up only fixes the copy on the website; the original you uploaded stays in the site’s public history.
- Landscape (wide) pictures work best for events and Spotlights.
- Always fill in Picture description: one sentence describing the picture, for people who cannot see it.
Things you cannot change here
- The web address (filename) of an event or Spotlight is fixed once it is created, so shared links and bookings keep working. If you got the title badly wrong, ask an admin.
- Other pages (Team, Library, Video Hub…) are still edited by an admin.
If something goes wrong
Your change not appearing after 10 minutes, or something looking wrong on the site? Tell the website admin. After every save, an automatic check looks for problems and alerts the admins, so they may already know.
